Start with the enquiry you want to receive
A useful lead capture form makes the next conversation easier. Ask for enough information to understand the business, the problem and the appropriate service. Leave detailed qualification for the conversation when a long form would create unnecessary friction.
For a consultancy, the essentials might be a name, work email, business name, service interest and a short description of the challenge. A website and likely starting period can be optional. Each field should support a decision rather than simply enrich a database.
Keep the prospect’s original language. It often explains urgency, uncertainty and expectations better than a dropdown. AI can summarise that language later, but the original enquiry remains the reference.
Create one reliable record
The first automation should give each enquiry a durable record and an owner. Record its source, arrival time, service interest and current status. Define how the system identifies duplicate submissions so a retry does not create two competing follow-up sequences.
CRM platforms can provide the building blocks. HubSpot’s workflow documentation, for example, describes enrolment triggers and actions such as assigning records or sending messages, with availability depending on the subscription. See HubSpot’s workflow guide.
The business design matters more than the brand of software. Decide what qualifies as received, assigned, contacted, qualified and closed. Everyone working with the record should interpret those stages consistently.
Use AI to assist qualification
An AI step can propose a service category, highlight unanswered questions and draft a concise brief for the person handling the enquiry. Give it an explicit instruction to distinguish facts from inferences and to leave unknown information blank.
Suppose a retailer asks for help connecting Shopify orders with customer support. The brief could identify ecommerce operations as the topic and suggest asking which support platform the team uses. It should not assume the retailer’s revenue, team size or ability to pay.
Review the model’s classifications against the team’s decisions. If the system regularly confuses website enquiries with ecommerce integration requests, improve the category definitions and examples before extending the automation.
Make the follow-up relevant
A receipt acknowledgement should confirm that the enquiry arrived and explain what happens next. It should avoid promising a response time that the team cannot maintain. A personal response can then address the actual request and ask only the missing questions.
Set internal reminders around responsibility. If an assigned enquiry remains untouched, notify the owner or a backup. If the prospect replies, stop any sequence that would otherwise send an irrelevant reminder. Respect opt-outs and keep promotional communication separate from handling the original request.
For higher-value enquiries, a reviewed draft can be more useful than an automatically sent email. AI reduces preparation time while the person remains accountable for the commercial conversation.
Measure progress beyond the form submission
Track assignment time, first meaningful response, qualified opportunity rate and reasons enquiries do not progress. A quick automated acknowledgement is not the same as a helpful answer, so measure those events separately.
A hypothetical business receiving 100 enquiries might find that only 20 match its services. The next improvement could be clearer positioning on the website rather than more follow-up automation. Another business may receive relevant enquiries but lose them because ownership is unclear.
Review a sample of records alongside the dashboard. The numbers reveal where to look; the messages explain what happened. A good lead-generation system connects marketing, sales and operational discipline so that interest receives a considered response.
